Officials from Bergrivier Municipality must obtain pre-approval before attending external events such as congresses, seminars, or workshops. The Executive Mayor must approve directors' attendance, while the Municipal Manager approves employees' attendance. Attendance is limited to one director plus up to two employees, or three with delegation rules.

This includes a day allowance for trips lasting more than 5 hours without overnight accommodation, and an overnight allowance if away from work for more than 12 hours between 18:00 and 06:00 at a venue outside the municipal boundary. The allowance is based on SARS guidelines and does not require proof of expenses.

Councillors may receive a subsistence allowance for personal and incidental costs such as refreshments, snacks, and drinks during official travel outside the Bergrivier Municipal Area, provided they submit proof of direct expenses and the stay exceeds five hours overnight. This does not cover personal recreation.

Eligible dependents—spouses, life partners, biological, foster, and adopted children—may be registered on the same accredited medical scheme as the employee. Children are subsidised until age 24, or older if they are full-time students. Life partners must prove cohabitation or a domestic contract. Dependents cannot be split across different schemes.
